     As an Executive Assistant, you will be at the center of a dynamic team of thoughtful business leaders. You will exercise independent judgment to anticipate the needs of our leadership team and resolve operational and administrative issues before they arise. You will move quickly with the changing environment and are up to date with the latest programs and initiatives ProSight is rolling out. Your job function is far reaching, and will deal with tasks of moderate to high complexity and scope with goal of magnifying senior leadership’s capabilities. 

    Responsibilities

    C-Suite Support:

    • Time management of C-Suite with a focus on coordinating complex calendar activities such as: maintaining up-to-date meeting schedules and logistics; proactively flagging scheduling conflicts; and ensuring a timely response to meeting requests.
    • Coordination of business logistics, including the preparation and distribution of agendas, call-in numbers, presentations, etc.; and ensuring the CEO is prepared for specific meetings when needed.
    • Receiving, escorting, and/or introducing visitors to the department.
    • Travel coordination / planning for the C-Suite.
    • Board and Committee meeting scheduling.
    • Audit expense reports & Amex card reconciliation for C-Suite.
    • Exercise sound judgement and apply critical thinking to find efficiencies and improve the above functions

    Internal Support:

    • Manage the company seating charts to accurately reflect current headcount.
    • Assist the marketing team with external event related projects as needed.
    • Partner with Human Resources and Facilities on an on-going basis to assist with special projects.
    • Manage the distribution of tickets for events at the Prudential Center.
    • Employee Recognition
      • Weekly welcome emails and blue carabiner welcome scheduling 
    • Assist in setting up new employees with Travel profiles as needed
    • Maintenance & Assurance of ProSight Aesthetic throughout all offices
    • Plan CEO Lunches & employee meetings as needed

    Qualifications

    • You are an extremely detail orientated and organized individual.
    • You are comfortable in a constantly changing environment where priorities and objectives can shift at any given moment
    • You are able to anticipate other’s needs based on prior interactions and you can get ahead of issues before they arise.
    • You go above and beyond to ensure others around you have the support they need.
    • You have excellent written and verbal communication skills and can represent ProSight in the best possible light.
    • You are extremely polished and professional in all of your interactions.
    • You have at least five years of experience supporting executive leadership or experience in a similar role, such as event planning or event management.
    • You have a proven track record in keeping confidential information, confidential. 
    • You demonstrate personal accountability and integrity, and an ability to build strong, productive relationships across business.
    • You have strong decision-making skills, with ability to articulate the reason behind the decision and think on your feet. 
    • You are a self-starter and deal well with ambiguity, requiring little management to get things done.
    • You are inquisitive and take the initiative to educate yourself on various business units
    • You thrive in an environment where hard work, rolling up your sleeves, grit and determination are required, and producing great results is your primary motivator.
